In many associations, collection happens in bursts: a flurry of activity when cash runs short, then silence until the next crisis. Members notice the inconsistency, and arrears quietly grow in the gaps.

A dues collection calendar fixes this by deciding in advance what happens on which day — billing, reminders, follow-ups, reports — so the work does not depend on anyone's memory or mood.

Why a calendar beats ad-hoc collection

A fixed rhythm helps everyone involved:

  • Members know when the bill arrives and when it is due.
  • Collectors know which days to visit which roads or blocks.
  • The treasurer can predict cash flow and plan payments to suppliers and staff.
  • The committee can review the same report on the same day every month.

Here is an example for an association whose dues are payable by the 10th of each month. Adjust the dates to match your own rules.

Daily habits

Some tasks belong to every working day, not to a date:

  1. Record every payment the same day, with method and reference.
  2. Send or hand over a receipt immediately.
  3. Match mobile banking receipts (bKash, Nagad, Rocket) against the statement.
  4. Hand over cash from collectors to the treasurer with a signed count.

Weekly habits

  • Check the daily collection totals by collector and by method.
  • Follow up on any payment that could not be matched to a flat.
  • Call two or three long-standing defaulters personally.

The yearly dues collection calendar

Beyond the monthly cycle, a few events affect collections every year. Put them on the calendar early.

Before the financial year starts

  • Confirm the monthly rates approved by the general meeting.
  • Update flat, owner and tenant contact details.
  • Announce any change in rates or late-fee rules at least a month ahead.

Around Eid and other festivals

  • Many associations collect a one-time contribution for staff bonuses. Announce the amount and deadline well before the festival.
  • Expect slower regular collection in festival months, as household spending rises. Send reminders a little earlier.

Mid-year

  • Review the dues aging report: are 90+ day cases shrinking or growing?
  • Revisit instalment agreements with long-term defaulters.

Year-end

  • Prepare the annual income and expenditure statement and balance sheet for audit.
  • Share total collections, arrears and waivers with members at the general meeting.

Tip: Print the monthly calendar on one page and stick it on the office wall. When the treasurer is away, anyone can see what is due today.

A worked example

Say an association of 200 flats has three collectors, each covering a set of roads. With the calendar in place:

  • On the 1st, all 200 flats receive their bill.
  • By the 10th, the office checks the daily report and sees which roads are behind.
  • On the 20th, each collector gets a printed list of unpaid flats on their own roads only.
  • On the 25th, the treasurer flags flats over 60 days and asks the committee to assign a member to visit each one.

Nothing here is complicated. The difference is that it happens every month, on time.

Common mistakes to avoid

  • Changing due dates from month to month.
  • Applying late fees on some months but not others.
  • Sending reminders before payments from the last few days are recorded.
  • Skipping the committee review "because it was a busy month".
